The physio clinic management challenge
Physiotherapy practices have a workflow fundamentally different from consultation-based clinics. Patients attend multiple times per week over weeks. Multiple therapists may work with the same patient.
Generic clinic software handles none of this well. Most EMR systems are designed around single-visit consultations, not ongoing rehabilitation programs.
Digital body mapping for physiotherapy
A physiotherapy-specific clinical tool should include an interactive body map — a diagram where the physiotherapist clicks on a joint or region to record treatment status, procedures performed, and progress notes.
Over multiple sessions, this builds a visual treatment history showing which regions have been treated, how they progressed, and what procedures were used.
- All major joint regions: shoulder, knee, hip, spine, ankle
- Status tracking: normal, watch, active treatment, improving, chronic
- Procedure history per region with date and clinician
- Custom procedure pricing linked to invoicing
Treatment course documentation
Physio clinics typically run rehabilitation courses — 10 or 20-session programs with defined protocols. Management software should support defining the protocol, tracking session attendance, documenting session-by-session notes, and summarising outcomes at completion.
When a patient misses a session, the system should flag it. When the course is complete, a summary report should be available for the referring physician.
Billing per session, course and package
Physiotherapy billing can be complex — some patients pay per session, others purchase a course upfront, others have insurance with session limits. The billing platform needs to handle all three models without creating separate records.
Session-level billing, course-level packages with redemption tracking, and insurance claim submission should all be available from the same billing screen.
